TOWNSHIP OF STAFFORD JOB DESCRIPTION

JOB TITLE: Principal Clerk Typist
DEPARTMENT: Police Department
RATE: $23.78 Per Hour
REPORTS TO: Chief of Police or Designee
SCHEDULE: 8:30 A.M. to 4:30 P.M. Monday through Friday or as set by Department Head
ESSENTIAL FUNCTIONS OF THE POSITION:
Based on the particular demands of the department, the position may entail any combination of the following duties:
1. Scheduling appointments for the Department Head or employees in the department.
2. Preparation of correspondence and maintenance of logs for correspondence and appointments.
3. Collection of fees, if applicable, and reconciliation of fees collected.
4. Processing and issuance of permits and licenses.
5. Data entry of information and data into the computer system.
6. Maintenance of files and assisting other department personnel in filing.
7. Answer telephone inquiries from the public.
8. Completion of searches as assigned.
9. Preparation of documentation for reports and correspondence, and coordination of work with other clerical employees as necessary.
10. Processing of requisitions and purchase orders as necessary, and coordination of work by other clerical employees as necessary.
11. Processing of reports generated by the Police Department12. Other duties as assigned by the Department Head
- Preparation of cases for court management, tracking of all reports, and completion of reports as required.
- Preparation and maintenance of time attendance, payroll, and Workman’s Compensation records.
- Monitor records-keeping requirements and petition the State of New Jersey Division of Archives and Records Management for purging of records as needed.
- Originates statistical and other records according to departmental procedures.
QUALIFICATIONS FOR THE POSITION:
1. Ability to maintain complete confidentiality of all information and records in accordance with OPRA, Stafford Township Police Rules and Regulations, and Attorney General Guidelines and Directives.
2. Ability to understand and follow oral and written instructions.
3. Ability to learn assigned tasks readily and adhere to established departmental procedures whether written or unwritten.
4. Must possess the intelligence and judgment necessary to cope with complex, unexpected, and various challenges presented daily.
5. Ability to read, write, speak, and understand the English language effectively to perform the essential functions of the position as listed above.
6. Ability and temperament to work harmoniously and cooperatively with associates, supervisors, and the public at large.
7. Ability to interact courteously and effectively with the public.
8. Any certifications required for the position by virtue of State, Local, or administrative agency mandate.
9. Ability to proficiently operate office equipment, including but not limited to a copier, fax machine, postage machine, calculator, and typewriter.
10. Extensive knowledge of computer data entry and modern office practices, procedures, and equipment including but not limited to Microsoft Office and other software utilized by the police department.
11. Transportation to and from work.
12. Conformance with the Township of Stafford dress code and other personnel policies as adopted by the Township.
13. Ability to pass a post-offer/pre-employment physical examination including a drug screening analysis.
